Administrative Support Specialist

 

Overview

 

The Administrative Support Specialist provides administrative and clerical support across sales, account management, and service delivery functions. This role assists internal teams with coordination, documentation, reporting, and day-to-day operational tasks to help ensure a smooth and consistent client and associate experience.

 

Responsibilities

 

Administrative & Clerical Support

·        Perform general administrative duties including data entry, document formatting, and file organization

·        Assist with timesheet collection, tracking, and submission support.

·        Help prepare and update reports using Excel and internal systems.

·        Maintain accurate records and organized filing systems (digital and/or physical).

·        Support internal documentation and ensure information is up to date.

·        Assist with expense tracking and basic administrative workflows.

·        Assist in compiling routine sales and operational reports.

·        Help maintain data accuracy across systems and spreadsheets.

·        Support documentation of processes and updates as directed.

·        Identify and communicate errors or inconsistencies in data or processes.

Sales Support

·        Provide administrative support to sales and account management teams.

·        Schedule meetings, coordinate calendars, and prepare meeting materials.

·        Track follow-ups and assist with documenting action items.

·        Support candidate submittals by organizing and verifying required documentation.

·        Assist with resume formatting and standardization for candidate submissions.

Client & Associate Support

·        Assist with client communication by coordinating logistics and follow-ups.

·        Support onboarding activities by preparing documentation and coordinating scheduling.

·        Help track and escalate basic client or associate issues to appropriate team members.

·        Assist with engagement activities and communications for associates (including W-2 employees).

·        Provide general support to help ensure a positive experience for clients and associates.

Event & Coordination Support

·        Assist with coordinating internal meetings, client meetings, and events.

·        Support logistics such as scheduling, materials preparation, and communications.

·        Help with job fairs, recruiting events, and team activities as needed.

Associate Support

·        Provide operational, coordination, and communications support for W‑2 Associates.

·        Support Associate onboarding, transitions, and ongoing engagement activities to ensure a high-quality delivery experience.

·        Serve as a centralized point of executional support to reduce administrative and coordination burden on producers, practice leaders, and delivery managers.

·        Coordinate internal communications, scheduling, documentation, and follow-ups related to consultant assignments and delivery needs.

 

Additional Responsibilities

·        Communicate effectively with internal team members and external contacts

·        Maintain professionalism in all interactions

·        Support team operations with a flexible and team-oriented approach

·        Perform other administrative and support duties as assigned.

Required Skills & Experience

·        Bachelor’s degree in Business Administration, Marketing, Communications, or related field preferred, but not required

·        0–2 years of experience in administrative support, customer service, or related roles

·        Strong organizational and time management skills

·        Clear written and verbal communication skills

·        Ability to follow instructions and complete tasks with accuracy

·        Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

·        Experience with CRM systems is a plus, but not required

·        Detail-oriented with strong follow-through

·        Comfortable working in a fast-paced environment

·        Ability to read, write, and communicate effectively in English

·        Basic problem-solving skills and willingness to ask questions when needed

·        Strong interpersonal skills and a service-oriented mindset

·        Ability to occasionally adjust schedule based on business needs

Work Environment  

·        Supervisory Responsibility: No

·        Supervision Received: Works under limited supervision.

·        Travel: Only as an exception

·        Interpersonal Interaction: Frequent and extensive viewing of computer screens.
