Position Title:    Administrative Assistant – Construction Project Support

Location Information 

Onsite – Conway Springs, KS

Monday – Friday, 7:30 a.m. – 4:00 p.m.

(Additional hours may be required)

Position Responsibilities:

As an Administrative Assistant supporting a major, multi-year construction project, you will play a critical role in ensuring the smooth operation of site administrative functions. Based out of an office trailer within an active job site, you will directly support the construction management team and coordinate with project staff from diverse disciplines. Your attention to detail, organizational skills, and ability to thrive in a fast-paced, dynamic construction environment will be essential to the project’s success.

Key duties and responsibilities include:

  • Provide comprehensive administrative and clerical support to on-site Project Managers, Supervisors, Staff Engineers, and Field Management.
  • Handle confidential project documentation, ensuring proper filing, access, and security of records.
  • Assist with preparation of purchase orders, invoice coding, and expense tracking using company systems.
  • Help plan, coordinate, and support training and safety events for the site staff.
  • Prepare monthly expense reports for personnel and ensure timely submission and accuracy.
  • Coordinate travel logistics and scheduling for individuals and project teams.
  • Serve as a primary point of contact for managing incoming calls, visitors, deliveries, and mail at the project site.
  • Prepare meeting agendas, document meeting minutes, and ensure distribution/follow-up of all related correspondence.
  • Maintain, organize, and monitor supplies, equipment, and documentation to keep the office trailer running efficiently.
  • Coordinate scheduling of facilities and catering services for meetings and large events.
  • Create vendor requisitions and receipts as required by project and procurement guidelines.
  • Adopt and follow safe work practices as required when entering the field (PPE guidelines apply).

 

Essential Skills, Experience

 

  • Highly detail-oriented and able to process large volumes of data with a high degree of accuracy.
  • Strong computer proficiency, including mastery of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.).
  • Experience with PeopleSoft and Box Systems or related office administration and document management tools is a plus.
  • Ability to handle multiple priorities, manage a demanding workload, and adapt quickly to changes in a fast-paced setting.
  • Excellent communication skills, with the ability to interact professionally and proactively with diverse project personnel.
  • Strong organizational and time management abilities, with creative problem-solving and sound reasoning skills.
  • Demonstrated ability to work independently with minimal supervision as well as collaboratively as part of a team.
  • Comfortable working in a job-site office environment (office trailer); must be able to don and use proper PPE when entering the field as required.
  • Valid driver’s license required; willingness and ability to support intermittent travel as needed.
  • Demonstrated history of reliability, professional conduct, and strong attendance at work.

Qualifications:

  • High school diploma or equivalent required.
  • Bachelor’s degree in Business, Communications, Accounting, or a related field preferred but not required.
  • 2+ years of relevant administrative, office management, or construction project support experience preferred.
