Position Title: IT PMO Operations Manager

Position Responsibilities:
The IT PMO Operations Manager is responsible for leading the daily operations and strategic oversight of the IT Project Management Office (PMO). Reporting to the Chief Information Officer, this highly visible role works across IT, business stakeholders, finance, and supply chain to ensure excellence in project governance, portfolio tracking, and organizational performance.
Key responsibilities include:
- Managing all aspects of IT PMO operations, including governance, process adherence, and daily activities.
- Leading the intake, evaluation, prioritization, and ongoing tracking of IT initiatives to ensure alignment with organizational objectives.
- Providing executive leadership with transparent updates and portfolio-level status reporting, including risks, dependencies, budgets, and resource allocation.
- Supporting financial planning for IT projects, including budget tracking, forecasting, and detailed financial reporting at a project and portfolio level.
- Coordinating contract management, renewals, vendor agreements, and procurement activities in collaboration with supply chain functions.
- Establishing and maintaining standardized documentation, reporting frameworks, and governance processes to ensure consistency and compliance.
- Monitoring portfolio performance, proactively identifying and escalating risks, delays, and resource constraints as needed.
- Facilitating regular portfolio reviews and executive-level status meetings to support informed decision-making and accountability.
- Collaborating closely with project managers, IT leadership, finance, supply chain, and business units to drive cross-functional alignment.
- Supporting demand management and resource-capacity planning initiatives for the IT organization, helping to balance project load and team utilization.
- Maintaining and optimizing ServiceNow-based project and portfolio management workflows to enhance efficiency, visibility, and user experience.
- Identifying areas for continuous improvement within PMO processes, introducing structured approaches to increase organizational accountability and streamline operations.
- Contributing to the development and mentoring of project managers, sharing best practices and supporting capability building in project delivery.
Essential Skills, Experience
- 8+ years of progressive experience in project management, program management, PMO operations, or IT portfolio management, with a clear track record of increasing responsibility.
- Demonstrated experience leading or supporting an IT Project Management Office, with comprehensive knowledge of PMO best practices.
- Strong proficiency in project governance frameworks, portfolio reporting methods, financial planning/tracking, and resource planning strategies.
- Hands-on experience managing IT budgets, forecasts, contracts, vendor relations, and coordinating procurement processes.
- Ability to clearly communicate complex program and portfolio updates to executive stakeholders and cross-functional teams at all levels.
- Practiced in partnering with IT infrastructure, application, operational, and business teams to achieve organizational objectives.
- Strong organizational and analytical skills with a results-oriented, problem-solving mindset.
- Demonstrates initiative and can independently manage a highly visible, cross-functional role.
- Proven success in improving processes, establishing structure, and introducing scalable systems in fast-paced, high-volume environments.
Qualifications:
- Bachelor’s degree in Business, Information Technology, Computer Science, or a related field; advanced degree or relevant certifications (PMP, PgMP, etc.) are a plus.
- Experience within large-scale healthcare, clinical, or health technology environments is a significant advantage.
- Hands-on experience with ServiceNow Strategic Portfolio Management, IT Business Management modules, or similar portfolio/project management tools.
- Prior exposure to supporting an Office of the CIO and operating at the intersection of IT and business strategy.
- Knowledge of IT vendor management principles, software licensing, and contract renewals.
- Experience mentoring, developing, or coaching project managers and supporting the maturity of project delivery practices.
