Position Title:   Marketing Project Coordinator

Location Information 

Onsite Kansas City, Missouri

Position Responsibilities:

The Marketing Project Coordinator plays a pivotal role within the Marketing department, supporting the planning and execution of a variety of traditional and digital campaigns. This individual is responsible for managing a high-volume portfolio, typically overseeing 15 to 20 concurrent projects that span print, direct mail, events, email, web, social, paid media, and other content-driven campaigns.

Key responsibilities include:

  • Oversee end-to-end management of a diverse range of marketing projects across multiple channels, ensuring they run efficiently and meet defined objectives.
  • Coordinate project intake, scoping, and prioritization to ensure timely and effective handling of new requests and assignments.
  • Manage resource allocation and capacity planning across creative, marketing, and cross-functional teams to ensure projects are adequately staffed and deadlines are met.
  • Track, monitor, and report on project progress, maintaining oversight of status, timelines, budgets, deliverables, and identifying and proactively resolving any risks or bottlenecks.
  • Build and maintain clear, actionable reporting mechanisms to provide stakeholders and leadership with timely visibility into project and campaign status.
  • Facilitate effective communication across project teams, stakeholders, and leadership, establishing and maintaining consistent communication channels and cadences.
  • Collaborate with Marketing leadership to recommend, evaluate, and implement improved project management tools, workflows, and governance processes that enhance operational efficiency and transparency.
  • Lead and organize project-related meetings, including project kickoffs, status updates, and retrospectives to foster team alignment and continuous improvement.
  • Ensure all assigned projects are completed on time, within scope, and within budget, upholding quality standards and organizational expectations.

 

Essential Skills, Experience

  • 5 to 10 years of experience as a Project Coordinator, with demonstrated experience supporting marketing teams or campaigns for a portion of this time.
  • Proven track record managing a high volume of projects in a fast-paced environment, spanning both traditional and digital marketing campaign execution.
  • Strong understanding of project intake, resource management, project tracking, reporting tools, and effective stakeholder communications.
  • Familiarity with marketing operations, including print, direct mail, events, email, web, paid and social media, and content-driven initiatives.
  • Experience with project management software such as Asana, Monday.com, Smartsheet, Workfront, or similar platforms.
  • Ability to operate in environments with ambiguity, demonstrating adaptability and a willingness to learn organization-specific processes and best practices on the job.
  • Excellent organizational, prioritization, and time management skills, with the ability to juggle multiple priorities and stakeholders.
  • Exceptional written and verbal communication skills, fostering effective team collaboration and stakeholder engagement.
  • Strong problem-solving abilities with a proactive mindset for identifying and mitigating risks to project timelines or deliverables.
  • Healthcare industry experience is preferred but not required.

Qualifications:

  • Bachelor’s degree in marketing, communications, business, or a related field is preferred.
  • 5-10 years of hands-on project coordination or equivalent experience, with a substantial portion in marketing-related projects.
  • Familiarity with healthcare industry marketing is a plus, though not required.
