Position Title:     Administrative Assistant

Location Information  Kansas City, MO | Onsite

 

Position Responsibilities:

As an Administrative Assistant, you will play a vital role in ensuring the efficient management of both digital and physical documents. Your key responsibilities include indexing, scanning, and quality review of client files to ensure proper organization and compliance within electronic document management systems. You will also maintain existing paper files and provide administrative support involving meticulous attention to information management and data entry standards.

  • Index and coordinate the scanning of documents, ensuring accurate electronic filing in client systems.
  • Review documents to determine appropriate categorization and placement within electronic file management systems.
  • Perform quality control on scanned and indexed documents to guarantee completeness and integrity of electronic files.
  • Maintain, organize, and update existing paper client files in accordance with record retention standards.
  • Utilize document scanning equipment and software to convert paper files to electronic format.
  • Support document management procedures, including following established naming conventions and data entry best practices for records.
  • Effectively manage multiple priorities and assist with other administrative tasks as assigned.

 

Essential Skills, Experience

Ideal candidates for this role are detail-oriented professionals with a passion for organization and document integrity. You will possess the following skills and experience:

  • Proven ability to handle confidential information and maintain integrity of records.
  • Experience in document management, records retention, or administrative support (1-3 years preferred).
  • Strong familiarity with scanning and indexing both physical paper and digital files.
  • Proficiency managing and maintaining electronic file systems, such as SharePoint, Documentum, or other Electronic Document Management Systems (EDMS).
  • Proficient in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Demonstrated ability to learn and utilize document scanning equipment and related software.
  • Solid understanding of file naming conventions, data entry requirements, and best practices for electronic records.
  • Exceptional attention to detail and accuracy in document review and data entry.
  • Excellent organizational and time management skills, with the ability to prioritize multiple tasks efficiently.

Qualifications:

  • High School Diploma or equivalent (Required).
  • Associate’s or Bachelor’s degree in Business Administration, Information Management, or a related field (Preferred).
  • 1-3 years of relevant experience in document management, scanning, administrative support, or records management (Preferred).
